A number of RVCF merchandise supplier members claim that the Compliance Clearinghouse more than pays for the cost of membership. In fact, some suppliers have said that this service, which is free with RVCF membership, was their primary reason for becoming a member. Unfortunately, a number of suppliers aren't doing nearly enough to maximize the benefits of the Compliance Clearinghouse.
As a supplier, you know how overwhelming it can be to check retailer compliance websites for changes to requirements, which vary from retailer to retailer. Some retailers make changes once a week, once a month, or once every two years. The Compliance Clearinghouse removes the monitoring and tracking changing from the supplier compliance process.
RVCF scours the compliance sites of 140+ retailers and alerts suppliers of any changes in a daily e-mail. In addition to being able to reallocate resources to higher value tasks, the supplier can more proactively address and implement changes or contact the retailer to discuss any issues with a new requirement.
Suppose a retailer has a new requirement for an advance ship notice (ASN) and a supplier is late in receiving the change or doesn't receive it at all. What is typically an automated receiving process that lasts an hour or two becomes a slow, labor-intensive process that could take several days to complete. The chargeback can be thousands of dollars or more per non-compliant shipment, which could easily reach hundreds of thousands of dollars by the time the issue has been fixed.
In this case, one notification of one requirement change from one retailer through the Compliance Clearinghouse could have prevented thousands of dollars in chargebacks and who knows how many dissatisfied consumers.
As valuable as that daily e-mail is, it only represents the tip of the iceberg in terms of what suppliers can do with the Compliance Clearinghouse. Suppliers can use their username and password to sign in to the website and use the available tools to manage the changes that are covered in the daily e-mail.
Think of this tool as your compliance inbox, with functionality similar to Microsoft Outlook and other e-mail services. You can read an e-mail, mark it as read, delete it, archive it, and add notes and reminders for future follow-up. Not only can you determine how to act upon each requirement change, but you can use the information in your everyday business tasks.
For example, you can download changes for a specific time period in an Excel spreadsheet and use it as a checklist during compliance meetings. You can assign specific tasks to people, determine what actions have been taken and what still needs to be done, and ensure that changes to retailer requirements are being properly addressed.
This is particularly valuable as suppliers struggle to manage retailer requirements for product images and attributes. This requires systemic changes and greater collaboration between departments within the supplier organization. Data from the Compliance Clearinghouse can help suppliers determine what exactly needs to be done to provide retailers with the product information they need. The Compliance Clearinghouse also provides an easily accessible document depository for retailer requirements and archives all changes for public sites so you can defend against post audit deductions.
Make no mistake about it. RVCF retailer members want suppliers to take full advantage of the Compliance Clearinghouse. They don't want to deal with order errors. They don't want to deal with anything that disrupts the flow of merchandise to the consumers' hands. And they certainly don't want to deal with unhappy consumers.
