Bringing Business Process Improvement to the Payment/Reconciliation Cycle


RVCF LogoBack in 2006, we, then VCF, had gathered a group of retail A/P executives together to determine how to best improve the payment process. It was thought that taking the VICS 426 Adjustment Reason Codes and simplifying them would reduce the number of codes to a more manageable list. That's when we heard from the larger retailers that there was nothing wrong with the process and to "be reasonable and do it our way!" In fact, many of the participating retailers said that suppliers wanted as much detail as possible regarding why a deduction was being taken. When talking with suppliers, you really hear two different stories - one school wants a lot of detail while the other says the "ballpark" works. So, in 2012 when the Federal Reserve Bank of Minneapolis created The Remittance Coalition, RVCF determined we had to join and participate.

We recently experienced the sudden death of a key member of our management team; her funeral service was held on what would have been the anniversary of her 20th year of service to our corporation. She was truly a remarkable woman who had been a solid contributor from day one through her twenty years with us. With a problem such as a loss of a key member of a team, for any reason, there is learning that should, hopefully, take place and help prepare your organization for inevitable change that will surely occur when you least expect it or can afford it.

A series of issues are shaping and impacting the apparel industry. Labor wages, trade relations, currency fluctuations, and shifting demographics, to name a few. While cost pressures such as rising labor costs have been neutralized by various factors including declining cotton and material prices, it's a matter of time before the pressures become too great and finished goods prices are forced to rise. As Bill McRaith, CSCO at PVH pointed out during a recent apparel sourcing panel discussion, in the long term, goods pricing will eventually go up. That's the reality. Price rises will happen. I just have to do a better job delivering goods than others.

Last month, both the United States and the European Union continued their pressure on Russia by expanding the scope of existing economic sanctions and imposing new trade restrictions. Customer expectations are dictating changes in how they shop from companies, whether you are a retailer, wholesaler or manufacturer. In turn, retail companies are responding with new strategies to present advertising offers, make the sale, and serve the customer. In addition to shopping in-store, customer orders can come from e-Commerce sites, call centers, in-store kiosks, tablets, smart phones, laptops, etc. The order fulfillment options include shipping customer orders to stores for customer pick-up, shipping orders from stores or fulfillment centers, and drop shipping to customer homes. Providing a convenient shopping experience for an increasingly time-starved customer may be the difference between making a sale or a customer giving the sale to a competitor.

Are Your Product Images and Attributes Accurate and Consistent?

When retail consumers first started making purchases online, product images and attributes weren't overly complicated. For example, a woman's top might include a couple of pictures, the size and color of the top, and a general description. Today, there are more than 25 different kinds of sleeves for women's garments. With the explosive growth of e-commerce and mobile commerce, the usage and importance of proper images and attributes has grown significantly for not only suppliers and retailers, but also the end consumer.
